Nobody likes receiving a cancellation, but how you answer it matters more than most hotels think. A quick, friendly and precise reply keeps the door open for a future stay — and sometimes turns a cancellation into a date change. A slow or vague reply turns it into a dispute.

Check these four things before you reply

  1. Where was it booked? Directly with you, or through an online travel agency (OTA) such as Booking.com or Expedia?
  2. Which rate? Flexible (free cancellation) or non-refundable/prepaid?
  3. Is it inside or outside the free cancellation window stated in the booking confirmation?
  4. Why is the guest cancelling? If the trip is postponed rather than off, new dates may solve it for both of you.

The rules that apply are the ones agreed at booking

Guests sometimes assume there is a general right to cancel any online purchase within 14 days. In the EU, that cooling-off period does not cover hotel bookings for specific dates; the cancellation terms the guest accepted when booking are what decide the outcome. That is why it pays to quote your own terms clearly, in a friendly tone, rather than argue.

Best practice: keep the revenue and the goodwill

  • Offer new dates before you process the cancellation — but do not make the guest fight for the cancellation they are entitled to.
